Job description

Status: Replacement
Role: Individual Contributor
Position Level: Senior Officer to Assistant Manager
Reporting to: Supply Chain Manager
Location: Makati

KEY ACTIVITY AREAS

Supply Chain Management
• Implement best standards in supply chain activities.
• Supply materials on time to meet production schedules and deadlines.
• Assist in the planning for supplies of pharma products required by the company including the preparation of reports;
• Compliance to regional SCM policy and local SOP, internal control and develop self-evaluating criteria/procedures with the company to ensure adherence to standards of the supply chain function
• Assist in carrying out customs clearances of internationally procures pharma products and liaises with other organizations to obtain all necessary authorizations and clearances.
• Coordinate with the forwarder for goods coming from suppliers and deliveries to the designated location

Warehousing - Information & Inventory Management
• Complete the implementation of administrative stock management documents as per company procedure such as stock cards, for all stock items in the office storage. Ensure these are updated with actual stock movement, are accurate and reflect current stock levels.
• Perform physical stock checks in a warehouse or stockroom setting.
• Reconcile all products with that of invoices and supply documents.
• Document all products returned and record appropriately
• Goods Receipt upon arrival
• Track near expiry, expired and damaged products

Procurement
• Maintain approved supplier lists, price lists, and consolidate orders for local packaging materials
• Ensure all procurement activities are carried out in line with company requirements.
• Ensure supply of local packaging materials on time to meet production schedules and deadlines.

Administrative
• Maintain record management system, keeping records of all purchase orders, contracts/agreements, quotations, supplier information, and any other documents pertaining to supply chain
• Prepare and compile monthly inventory reports

• Creation/review and implementation of internal standard operating procedures (SOPs)
• Prepare and distribute monthly allocation requirement of all Medical Representatives nationwide

Relationship Building
• Develop strong, open and trustful relationships with Marketing and Sales department, have an understanding of their sampling plans for the coming 6-12 months and understand their requirement
• Key coordination and responsibility for the relationship with HQ/Regional SC team and local logistics/forwarder, acting as the focal point for shipping requirements and documents

Requirements

QUALIFICATIONS

• Previous working experience as a Supply Chain Officer for at least (x) years
• Hands on experience with supply chain management software (such as SAP B1, IBP, etc.)
• Sense of ownership in performance and its impact on company’s success
• Critical thinker and problem-solving skills
• Team player
• Good time-management skills
• Great interpersonal and communication skills
